Leaves and sabbatical

All requests for leave must be submitted by the faculty member to the department admin contact. They will review, obtain approvals, and submit to the dean’s office.

Requests for leave should be submitted to the dean’s office at least six months in advance of the sabbatical leave. Sabbaticals go to the Board of Governors for final approval. The board meets four times per year in February, April, June, and October.

Prior to the Board of Governors approval, sabbaticals need to go through the department, dean’s office, and provost’s office.

For your convenience, please see the following sabbatical processing checklist:

  • Please ensure the faculty member is using the most updated request for leave form (found on the provost’s website)
  • Double check that the faculty member has enough credits to go on the leave they are requesting
    • As per Policy 3: Sabbatical and Other Leaves for Faculty Members, the maximum amount of service credits a faculty member can carry forward is 3 years
    • In exceptional circumstances, if they want to carry forward more than three years, they must write a memo requesting an exemption to this rule which must be signed by the chair, dean, and provost
    • A sample of this memo can be provided by your Faculty Services Manager
  • Page 1 – brief outline of leave and a clear indication of their area of research
  • Page 2 – detailed outline of plans for the leave
  • Page 2 – detailed report on the previous sabbatical leave
  • Page 3 – indicate all of the faculty member’s graduate students, as well as the delegated supervisor and their signature (if the faculty member will be continuing to supervise their own students, they must write this in the “Remarks” section)
  • Page 4 – must be filled out if the faculty member has a lab (if they do not have a lab, this can be indicated as a note on the page)
